Drive More HVAC Leads with a Better Google Business Profile (Step by Step Guide)
Is your HVAC business showing up at the top of local Google results? When someone searches "HVAC repair near me" or "furnace installation," they usually need help fast. If your Google Business Profile (GBP) isn't set up right, you might not show up for those searches, and those calls go to whoever does.
In this guide, I'll walk through the steps to help your HVAC business show up in more local searches, get more calls, and turn those calls into booked jobs.
Step-by-Step: How to Optimize Your HVAC Google Business Profile (GBP) for Maximum Visibility
Your Google Business Profile is the listing that shows up on Google Maps and in the map pack, the three businesses Google shows on the map at the top of local results. Getting it right is one of the most direct ways to get found for searches like "AC repair near me." Here's exactly what to do.
Step 1: Claim and Verify Your Business Listing
Why it matters: Verification is what lets you control your profile and publish changes to it. Verification tells Google, and customers, that you're a real HVAC company.
How to do it: Claim your business at Google Business Profile. Google will ask you to verify, usually by video, phone, text, email or postcard depending on your business. Once you're verified, make sure your business name, address and phone number (NAP) match exactly on your website, social media and every directory you're listed on. When those details match, Google is more confident about your business. If you've got old listings with a different number or address, clean those up. I explain why in what local directories are and why they matter.
Step 2: Complete Every Field in Your Profile
Why it matters: A complete profile gives Google more to match against searches and gives homeowners what they need to pick you.
What to focus on:
- Business categories. Set your primary category to "HVAC contractor," then add secondary categories that match your real work, like "Air conditioning contractor," "Heating contractor," "Air conditioning repair service" or "Furnace repair service." Your primary category is the single biggest factor in which searches you show up for.
- Services. List every service you actually offer: AC repair, furnace installation, heat pump service, duct cleaning, maintenance plans, and so on.
- Service areas. Add the cities, towns or zip codes you really cover. Google lets you add up to 20. If customers don't come to your shop, hide your address and use service areas instead.
- Business description. Write a plain, clear description, like "Heating and cooling repair, installation and maintenance for homes in [your area]." Say what you do and where. Don't cram in keywords.
- Hours. Keep them accurate. If you really answer calls around the clock, set your hours to "Open 24 hours."
- Attributes. Pick any attributes Google offers that are true for you, such as veteran-owned or online estimates. Only choose ones that apply.
Step 3: Add Quality Photos and Videos
Why it matters: Google's own Business Profile best practices playbook says businesses that add photos receive 42% more requests for directions on Google Maps and 35% more clicks through to their websites. Photos also let people get a feel for your company before they call.
What to include:
- Photos of your technicians on the job, finished installs, your trucks and your office team.
- Short videos, like a quick maintenance tip or a walkthrough of a new system install.
Tip: Add new photos regularly. Branded trucks and uniforms in photos help people recognize you.
Step 4: Proactively Gather and Manage Customer Reviews
Why it matters: Reviews affect where you show up in local results and whether people call. A company with steady, recent reviews gets picked over one with a few old ones.
What to do:
- Ask every customer for a review after each job, not just the ones you think will leave five stars. Only asking happy customers is called review gating, and Google doesn't allow it.
- Make it easy. Text or email your Google review link, or show a QR code from your profile on your invoice. Make it part of your routine after every service call.
- Don't offer anything in exchange. No discounts, gift cards or free tune-ups for a review. Google's policy on fake engagement prohibits it.
- Respond to every review. Thank happy customers, and handle negative reviews calmly and professionally. It shows people you're paying attention.

Step 5: Use Google Posts to Share Promotions and Seasonal Tips
Why it matters: Posts let you promote services, offers and updates right on your profile, and they show homeowners you're active.
How to use it:
- Share seasonal offers like "Fall Furnace Tune-Up Special" or "AC Maintenance Before the Summer Rush" during your busy seasons.
- Post useful tips, like "How to Lower Your Cooling Costs This Summer."
- Use a clear call to action, like "Call now" or "Book online."
Older posts stop being featured on your profile over time, and offer posts end on the date you set, so post regularly to keep your profile current.
Step 6: Monitor Performance with Google's Performance Report
Why it matters: The Performance report in your Business Profile (what Google used to call Insights) shows how people find and use your profile, so you can see what's working.
Key metrics to monitor:
- Calls, website clicks and direction requests from your profile.
- The searches people used to find you, so you can make sure your categories and services match.
- Which posts and photos get attention, so you can do more of what works.
Check it monthly and adjust.
Common Mistakes HVAC Contractors Make with Their Google Business Profile
Inconsistent contact information. If your name, address or phone number is different on different sites, Google gets unsure which is right and becomes less likely to show your profile. It also confuses customers trying to reach you.
Neglecting reviews. Not asking for reviews, or not replying, especially to negative ones, hurts both your reputation and how you show up. Reply to everything, good and bad.
Letting your profile go stale. A profile with no recent photos or posts can look like the business isn't active. Add photos of recent jobs, your team and your trucks regularly.
Ignoring seasonal demand. Use posts to match the season, like AC repair and maintenance in spring and furnace service in fall. Keep your business description steady and plain. The posts are where seasonal messages belong.
How GBP Optimization Leads to More HVAC Jobs
Showing up in the map pack for searches like "heating repair near me" puts you in front of homeowners who need service now. The right categories, complete services, consistent information and steady reviews all make your profile more likely to show up there.
A good profile also builds trust. Current photos, recent reviews and clear business information tell a homeowner you're reliable before they ever call. Many HVAC customers need help right away, so a strong profile helps you catch those high-intent calls from people ready to book.
Rankings don't change overnight. Depending on your market and competition, it can take anywhere from a few weeks to a few months to see the full effect of fixes, and nobody can promise you a specific position. But the work keeps paying off, because it builds on itself. If you'd rather hand it off, GBP optimization is the only thing I do.
Simple GBP Updates Your HVAC Business Can Make Today
A few things you can do today:
- Upload 3 recent photos of finished jobs or your techs at work.
- Send your review link to every customer you've served in the past couple of weeks.
- Create a Google post for a seasonal service (for example, "Fall furnace check-ups, 20% off").
- Check your hours and make sure your service areas are accurate.
- Make sure your name, address and phone number match on your website and other listings.
Small updates like these add up. Keep your profile active and accurate, and you'll build trust with homeowners and get more of the calls that are already out there.
Let Google Work for Your HVAC Business
A well-set-up Google Business Profile is one of the best ways to get more local HVAC calls, and most of the work is stuff you can do yourself.
Not sure where to start? Send me your business name. I'll look at your profile myself and send you a free audit report showing what I'd fix first. It costs nothing, and if you'd rather do the work yourself, the list is yours either way.
